Front Desk Service Details

Check-In/Out Procedures

Check-In/Out Procedures

Check-In:
Check-in any time between 8:00 a.m. and 12:00 a.m., Monday to Sunday.

What to expect during check-in:

  • you will be asked to sign your Guest Accommodations Contract
  • accommodation payment, in full, will be required during check-in
  • you will receive a check-in package of information and be assigned room keys
  • a temporary parking pass will be provided for your convenience, free of charge
  • a friendly member of our staff will direct and/or assist you to your accommodations

Check-Out:
Check out time is 11:00 a.m. on the day of departure unless other arrangements have been made.

During departure, please drop room keys off in the envelope provided at the Front Desk or in the drop-off box located outside Bartley Residence.  If you are planning to stay beyond your scheduled departure time, please let the Front desk know.

Guests who are unsure of the duration of their stay may pay day by day. Please note that all payments are due by 11:00am, for the following evening. Guests paying by the day are required to leave a credit card number with the Guest Accommodations Clerk upon check-in.

Parking & Parking Passes

Lakehead University has ample parking.  Parking permits can be obtained for Conference group stays through the Conference Services Office for $3.00 per permit/per day.

All travellers receive their first parking pass complimentary (for up to two weeks) when they stay with us in Residence.

Long term passes (for 2 weeks or longer) may be purchased at Security Services.  Alternatively, parking passes can also be purchased through any on-campus kiosk for $5.00 per permit/per day.

Please note that parking permits are required Monday to Friday from 7:00 a.m. to 6:00 p.m.  However, parking is free on Saturdays, Sundays or during any official University holidays.

Messages/Mail

General Messages & Incoming Mail

Guests will be informed of any messages or mail by the Front Desk.


Outgoing Letter Mail, Packages & Parcels

Outgoing letter mail may be brought to the Front Desk.  Canadian stamps and way-bills for FedEX and Purolator may also be purchased at the Front Desk.

 

Fax & Photocopy Services

Fax and photocopy services are available at the Conference Services Office from 8:30 a.m. to 4:30 p.m., Monday to Friday.

Services are also available through the Residence Administration Office (in Bartley Residence: Kenora House) from 8:00 a.m. to 4:30 p.m.

Our service rates (in Canadian funds) are:

  • $.80 per page to send a fax long-distance
  • $.50 per page to send a fax locally
  • $.50 per page to receive a fax
  • $.10 per page to photocopy
Photocopy cards are available for purchase through the Front Desk for $10.00 per card.

Room Telephones

Each room is equipped with a telephone.  You can access long distance by using a calling card.  Please remember to dial "9" and then the number when you are calling outside of the University.  When calling within the University, use the last four digits of the phone number.  A phone instruction manual is provided in your room.

All incoming calls to residence must first be directed through our automated attendant.  To reach the attendant dial (807) 343-8888-1-and then the 4 digit extension of your room telephone.

For your convenience pre-paid calling cards are available at the Front Desk.


Courtesy Telephones

Courtesy telephones are located at the main entrances of:

  • Bartley Residence
  • Avila Centre and;
  • the Apartments

When visiting other residences, please call people using these telephones to let them know you have arrived.


Pay Telephone

A pay telephone is located in the front entrance of Bartley Residence.


Local Weather Guide

The local weather report will be available daily through the Front Desk.  Local weather updates may also be found on the Weather Network website.

Services For Your Convenience

Front Desk Lobby

For your convenience, the Bartley Front Desk lobby is equipped with a computer with internet access, a telephone and a television.


Thunder Bay/Northwestern Ontario Maps & City Information

Printed Northwestern Ontario and Thunder Bay maps are available at the Front Desk.

A number of brochures on attractions in Thunder Bay, restaurants and city transit (maps and schedules) are also available at the Front Desk.  Additionally, guests and visitors are welcome to view some selected city highlights.


Televisions and Lounges

Televisions
There is a cable equipped TV located in the lounge of each dormitory and on each apartment floor.  Townhouses and apartments also feature a TV with basic cable.

Lounge
Lounges are located on the second floor of each house in Bartley, and on each floor of the apartment buildings.


Manitouwadge Social Centre

Located in Bartley Residence, the Centre is equipped with a big screen television, a VCR, DVD player and billiard tables.  The Centre is available for those looking for late night television or a place to socialize with others.  Please note that this facility closes at 12:00 a.m. nightly.


Internet/Computer Access

For those traveling with a laptop, all accommodation rooms have network cable internet access.  Network internet cables are available to sign-out at the Front Desk.  Throughout the campus there are also cyber cafes available, free of charge.


ATM & Change Machines

An ATM and a Change Machine are located beside the mailboxes in Bartley Residence.  Small change may also be exchanged at the Front Desk.  Additionally, ATM and Change Machines are available on-campus, in the University Centre at the Agora, Main Cafeteria, and The Study.


Vending Machines

For light snacks, vending machines are located in Bartley, Avila, the Apartments, and the Townhouse laundry rooms.  Please notify the Front Desk of any malfunctioning vending machines.  All refund requests for vending machine malfunction should be made at the Front Desk or at any Aramark cash operation outlet.


Prepaid Phone Cards

Prepaid phone cards are available for purchase at the Front Desk in $5.00 and $10.00 denominations.  Please note that all cards must be purchased with cash.


Bicycle Storage/ Registration

Please note that all bicycles stored in the provided shelters must be registered with Residence Front Desk.  Guests who register their bicycle(s) with the Front Desk will be given keys for access to the shelter containing their bicycle(s).  It is recommended that all bicycles should be locked when they are unattended.

Recreational Rentals and Facility Passes

Sport Equipment & Movie Sign-Outs

The Front Desk provides sign-outs for the following items:

  • Pool cues and balls
  • Tennis rackets and balls
  • Basket balls/soccer balls
  • Hockey sticks and pucks
  • Movies (DVD)
  • Alarm Clocks
  • DVD Players
  • Playpen
  • High chairs

Any equipment/item sign-out may be pre-booked or arranged on a drop-in basis.  However, sign-out requests that have been pre-booked by a group will take precedent over individual drop-in sign-out requests.  Also, note that a small fee is charged for equipment/item use.  Please see the Front Desk for details.


Kenora Kitchenette

Located across from the Bartley Residence mailboxes, the Kenora Kitchenette is a fully-equipped kitchen available for rent.  For facility details or to reserve this space, please contact the Front Desk.


Fieldhouse Passes

Fieldhouse passes are available at the Front Desk.  Passes include use of all facilities except the climbing wall.  View more information about the Fieldhouse facility.


Tennis Court

There are tennis court rentals available to all guests free of charge, and the general public at a cost of $5.00 per hour. Tennis racquets are also available to rent through the Front Desk free of charge (including tennis balls). The tennis court keys may be signed out through the Front Desk. 


Basket Ball and Volley Ball/Rink

The basketball and volley ball court/rink are available to all guests.  The basketball court/rink is located at the rear of parking lot 16 (view campus map PDF).  The volleyball court is located on the hill behind North Residence.  The court/rink is equipped with 4 basketball nets.  These facilities as well as basketballs and volleyballs are available for rent through the Front Desk.


Pool Tables

Located in the Manitouwage Social Centre, all pool tables are available to rent for $1.00.  Pool cues, balls and chalk are included.  Please rent pool tables at the Front Desk.

Cleaning Services & Supplies

Linen/Towel Exchange

Fresh linens and towels are available at the Front Desk.  Please bring any used linens, towels or face cloths to exchange them for clean sets.


Housekeeping Service

Daily cleaning of all public washrooms, lounges, laundry rooms and hallways will be completed by Residence housekeepers.  Weekly service within rooms can be arranged through the Front Desk for a fee of $100.00.  This fee includes vacuuming, change of bedding and washroom cleanings.


Dry Cleaning & Full Laundry Services

Dry cleaning and laundry may be dropped off and picked up at the Front Desk.  Please allow 4 days for return and note that cash payment is required at the time of pick up.


Coin-Op Laundry

There are coin operated laundry machines located across from the entrance of each house (if staying in a dormitory), in the lounge of each floor (if staying in the apartments), and in the entrance of each townhouse community (if staying in a townhouse).

Washers and dryers cost $2.00 per wash and $1.50 per dry.  Laundry soap and fabric softener are also available at the Front Desk for $1.50 per box.  Irons and ironing boards are located in each laundry room or can be signed out through the Front Desk.

Guests may obtain change from change machines located in Bartley Residence or from the Front Desk.

Please note that the use of the laundry facilities are at your own risk.  Conference Services will not be responsible for damaged, stolen or lost articles of clothing.  Any items left abandoned in laundry rooms will be removed and placed in the lost and found at the Front Desk.

Please notify the Front Desk of any malfunctioning washers and dryers.


Waste Removal

Dormitories
Please place your non-recyclable trash into any of the large garbage cans located in your dormitory house.  As a note, small and large garbage bags and vacuum bags are available at the Front Desk.  Prior to obtaining a vacuum bag, please note the type of vacuum that is in your unit.

Apartments and Townhouses
Bags of non-recyclable trash are to be placed in the garbage bins located outside.  Please do not leave bags of garbage outside your apartment or townhouse unit as this encourages visits from local wildlife population.  There will be a charge of $25.00 per bag for removal of garbage left on the doorstep, in townhouse yards or in the apartment complex common areas.  As a note, small and large garbage bags and vacuum bags are available at the Front Desk.


Recycling

All Dormitories, Apartments and Townhouses are supplied with "Blue Boxes" for recycling item collection and disposal.

Additionally, clear blue plastic bags are available for recycling item collection and disposal at the Front Desk.  Once used, these bags can be placed at designated locations for pickup.

Standard Recyclable Items
The following items may be recycled in Thunder Bay:

  • In one recycling blue bag, please put all:
    newspaper, junk mail, flyers, cereal boxes, fine paper, soft cover books and magazines
  • In a separate recycling blue bag, please put all:
    pop cans, tetra packs, milk cartons, metal cans, glass containers, aluminum foil, and any #1 or #2 plastic containers
  • Corrugated cardboard and clean pizza boxes may be bundled together and put out with any recycling bags for pick up

Depots for Standard Recycling Items

Dormitories
Recycling containers are provided in each dormitory house.  Please place recyclable items in the designated containers.  Residence Housekeeping staff will periodically collect recyclable items from these containers as required.

Townhouses
Items to be recycled are to be sorted in clear or clear blue bags and placed on the curbside for pickup.  A schedule for curbside recycling pickup will be provided to townhouse guests.

Apartments
Items to be recycled are to be sorted in clear or clear blue bags and dropped off in the recycling shed for the respective apartment.

Battery Recycling
Common household type batteries such as A, AA, AAA, 9v, C/D cell, lap top batteries, cell phone batteries, cordless phone, and rechargeable batteries may be dropped off for recycling at various locations around campus.

Please bring these items to one of the following convenient locations for recycling:


Light Bulb Replacements

Standard Bulbs/ CFL Bulbs
Guests may obtain replacement light bulbs at the Front Desk upon the exchange of burnt out bulbs.  The condition of an exchange is made so that we are able to contain all glass in one area for safe recycling and disposal.

Fluorescent Tube Lights
Please do not remove any fluorescent tube lights from your room.  Simply fill out an on-line work order or contact the Front Desk and a member of the Housekeeping staff will come in and replace it for you.
